Creating an Activity

Activities are created through a multi-tab form that captures all the essential information about farm work: what’s being done, where, when, and with which resources.


Opening the Activity Form

Go to Activities in the left sidebar.

Click New Activity

Click the green + New Activity button in the top right corner.

The activity form opens with five tabs on the left:

  1. General β€” Basic activity information
  2. Work Type & Assignment β€” Worker assignments
  3. Inventory β€” Products and supplies used
  4. Equipment β€” Machinery and tools used
  5. Documents & Notes β€” Instructions and attachments

Tab 1: General Information

The General tab contains the core activity details.

Status

Select the initial status for this activity:

Important: Only activities with Completed status appear in reports. Planned and In Progress activities are not included in report data.

Planning Date

Select the date when this activity is scheduled or occurred.

Work Type

Select the type of work from your configured Work Types. The dropdown shows a hierarchical view:

● Field work └── Harvesting └── Irrigation └── Planting ● Office └── Accounting ● Transport └── Transportation

Don’t see the work type you need? Go to the Work Types tab to add new categories.

Farm

Select the farm where this activity will take place. This is a required field.

Agricultural Season

After selecting a farm, choose the agricultural season. This links the activity to your seasonal planning.

Crop & Location

After selecting a season, you can choose:

Specific CropSelect a crop with zone and area from seasonal planning

Crops are shown with their zone and area: β€œPotate - potato-russet (Field 1 - 25 ha)β€œ


Tab 2: Work Type & Assignment

Assign team members to this activity.

Adding Workers

Click Add Workers

In the Team Assignment section, click the + Add Workers button.

Select Workers

The worker selection dialog appears with:

  • Search β€” Find workers by name, employee ID, or skills
  • Worker table β€” Shows all available workers with their type, skills, and role
  • Select All β€” Quickly select all workers

Check Workers to Assign

Select the checkboxes for workers you want to assign.

Click Add Workers

Click Add X Workers to assign them to this activity.

Setting Work Hours

After adding workers, specify hours for each:

HoursNumber of hours worked (editable)

The summary shows:

  • Total Workers β€” Number of assigned workers
  • Total Hours β€” Sum of all work hours

Removing Workers

Click the trash icon next to any worker to remove them from the activity.

Worker Types

Workers are color-coded by type:

  • Full-time β€” Permanent employees
  • Part-time β€” Part-time employees
  • Seasonal β€” Temporary seasonal workers
  • Contractor β€” External contractors

Tab 3: Inventory

Track products and supplies used in this activity.

Adding Products

Click Add Products

In the Inventory Assignment section, click the + Add Products button.

Search and Filter

The product selection dialog offers:

  • Search β€” Find by name, category, brand, or SKU
  • All Types filter β€” Filter by product category
  • Select All Available β€” Select all products

Select Products

Check the products used in this activity.

Click Add Products

Click Add X Products to add them.

Setting Quantities

After adding products, specify the quantity used:

  • Total Products β€” Number of different products
  • Total Quantity β€” Combined quantity

Product Categories

Products are grouped by category:

  • Seeds β€” Planting materials
  • Fertilizers β€” Nutrients and amendments
  • Chemicals β€” Pesticides, herbicides, fungicides
  • Other β€” All other product types

Removing Products

Click the trash icon to remove a product from the activity.


Tab 4: Equipment

Assign tractors, tools, and machinery to this activity.

Adding Equipment

Click Add Equipment

In the Equipment Assignment section, click the + Add Equipment button.

Search Equipment

The equipment selection dialog offers:

  • Search β€” Find by name, type, model, or manufacturer
  • Select All Available β€” Select all equipment

Review Equipment Details

The table shows:

  • Equipment β€” Name and assigned operator
  • Type β€” Equipment category
  • Status β€” Operational status
  • Condition β€” Current condition

Select Equipment

Check the equipment used in this activity.

Click Add Equipment

Click Add X Equipment to add them.

Setting Equipment Hours

After adding equipment, specify operating hours:

Equipment Types

Equipment is grouped by type:

  • Tractors β€” Farm tractors
  • Tools β€” Hand and power tools
  • Implements β€” Attachments and implements
  • Vehicles β€” Trucks, UTVs, other vehicles

Removing Equipment

Click the trash icon to remove equipment from the activity.


Tab 5: Documents & Notes

Add instructions and supporting documents.

Activity Notes

Enter any additional information:

  • Specific instructions for workers
  • Safety considerations
  • Materials needed
  • Special requirements

This text field is optional but helpful for communicating details to your team.

Document Attachments

Coming Soon: Document upload functionality will be available in a future update. You’ll be able to attach:

  • Safety data sheets (SDS)
  • Application instructions
  • Reference photos
  • Compliance documents

Additional Information

Use this section for any other relevant details about the activity.


Completing the Activity

Review All Tabs

Check each tab to ensure all information is correct:

  • βœ“ General β€” Status, date, work type, location
  • βœ“ Work Type & Assignment β€” Workers and hours
  • βœ“ Inventory β€” Products and quantities
  • βœ“ Equipment β€” Machinery and hours
  • βœ“ Documents & Notes β€” Instructions

Click Create Activity

Click the Create Activity button in the bottom right corner.

The activity is created with the status you selected in the General tab.


Activity Status Behavior

StatusWhat Happens
PlannedActivity is scheduled; does not appear in reports
In ProgressActivity is active; does not appear in reports
CompletedActivity is finished; data appears in reports

Report Data: Only completed activities contribute to your farm reports. To see activity data in reports, the activity status must be Completed.


Tips for Creating Activities

Start with General Tab

Always fill out the General tab first β€” farm and season selection affects what crops and locations are available.

Use Detailed Notes

Include specific instructions in the Documents & Notes tab to help workers understand exactly what needs to be done.

Track Resources Accurately

Recording workers, inventory, and equipment helps you understand true costs and resource usage for each operation.

Complete Activities Promptly

Change status to Completed when work is done so data flows to reports for analysis.
