Equipment Utilization Report

The Equipment Utilization Report tracks equipment usage and helps you optimize machinery scheduling across your farming operations. Monitor operating hours, identify underutilized equipment, and plan maintenance schedules.


Accessing the Report

Go to Reports in the left sidebar.

Click Equipment Utilization

On the Dashboard, click the Equipment Utilization card, or select Equipment from the Reports submenu.


Summary Cards

Three cards at the top provide key metrics:

Avg Hours/EquipmentHoursAverage operating hours per equipment piece

These metrics update automatically when you apply filters.


Filters

Expand the Filters panel to refine your data:

SearchFind by equipment name, farm, or crop
SeasonsSelect one or more agricultural seasons
Date RangeChoose a specific time period
EquipmentFilter to specific equipment items
Work TypesFilter by type of work performed
FarmsFilter by farm location
Crop & LocationFilter by crop and cultivation zone

Filters work together. Combine filters to analyze specific equipment usage, such as “Tractor usage for Planting activities in Spring 2025.”


Data Table

The table displays equipment usage records:

Equipment NameName of the equipment
Activity IDUnique activity identifier
Completion DateWhen the activity was completed
Work TypeType of work performed
FarmFarm where equipment was used
Crop & LocationCrop and zone (or “No Crop” for general activities)
Total HoursOperating hours for this activity

Sorting

Click any column header to sort:

  • First click: Ascending order
  • Second click: Descending order
  • Sort by equipment name, date, hours, etc.

Pagination

  • View 20, 50, or 100 rows per page
  • Navigate between pages using Previous/Next buttons

Exporting Data

Apply Filters

Set your desired filters to get the specific data you need.

Click Export CSV

Click the Export CSV button in the top right corner.

Download File

The CSV file downloads with all visible data matching your filters.

The exported CSV includes all columns and can be opened in Excel, Google Sheets, or any spreadsheet application.


Use Cases

Maintenance Planning

Schedule maintenance based on operating hours:

  1. Filter by specific equipment
  2. Review total hours
  3. Plan service when thresholds are reached

Utilization Analysis

Identify underutilized equipment:

  1. Review hours across all equipment
  2. Compare to expected usage
  3. Consider reallocation or disposal

Cost Allocation

Allocate equipment costs to crops:

  1. Filter by crop
  2. Export equipment hours
  3. Calculate costs based on hourly rates

Fleet Planning

Plan equipment purchases:

  1. Analyze usage by work type
  2. Identify capacity constraints
  3. Justify new equipment investments

Seasonal Comparison

Compare equipment usage across seasons:

  1. Filter by season
  2. Export data
  3. Analyze trends and patterns

Troubleshooting

No Data Showing

If the report shows no data:

  • Check that activities have Completed status
  • Verify equipment was assigned to activities
  • Adjust date range or clear filters

Missing Equipment

If equipment doesn’t appear:

  • Confirm it was assigned to completed activities
  • Check the date range includes relevant activities
  • Verify the equipment exists in your equipment list

Hours Don’t Match Expected

  • Verify hours entered on activities are correct
  • Check if activities are still In Progress (not counted)
  • Edit activities to correct hour values
