Common Edits

Updating Contact Information

Keep contact details current:

  • Add email when a worker gets one
  • Update phone numbers when they change
  • Fix typos in names

Changing Employment Status

Update status when employment changes:

SituationAction
Worker leaves the companyChange status to “Inactive”
Worker returns from leaveChange status to “Active”
Seasonal worker startsChange status to “Active”
Season endsChange status to “Inactive”

Tip: Instead of deleting workers who leave, change their status to “Inactive”. This preserves their history in activity records.

Adding Details After Bulk Import

If you used Bulk Create or CSV Import, you may want to add more details:

  1. Edit the worker
  2. Add email and phone
  3. Set correct hire date
  4. Select employment type

Deleting Workers

You can delete workers who are no longer needed, with one important restriction.

Workers assigned to activities cannot be deleted. If a worker has been assigned to any activity (past or present), the delete option will not be available. This ensures your activity records remain complete.

When You Can Delete

The Delete option is available only when the worker:

  • Has never been assigned to any activity
  • Was added by mistake
  • Is a duplicate entry

How to Delete

Go to Resources → Workers in the left menu.

Find the Worker

Locate the worker you want to delete.

Select Delete

Click the three dots menu (â‹®) on the right side of the worker row and select Delete.

Confirm Deletion

Confirm your action in the dialog that appears. The worker will be permanently removed.

When You Cannot Delete

If the worker has been assigned to activities, the Delete option will be disabled or not shown.

What to do instead:

  1. Change status — Set status to “Inactive” to show they’re no longer active
  2. Add a note — If there’s a notes field, document why they left
  3. Keep for records — The worker remains for historical activity records

Why this restriction exists: Activities reference specific workers. If workers could be deleted, your activity records would have missing information about who performed the work. Keeping the worker record preserves your complete operational history.

Best Practices

Keep Information Current

  • Update contact details when they change
  • Change status promptly when workers leave or join
  • Correct any errors in names or IDs

Use Status Instead of Delete

For workers who leave:

  • Change status to “Inactive”
  • This keeps historical records intact
  • You can reactivate them if they return

Regular Review

Periodically review your worker list:

  • Mark departed workers as Inactive
  • Update outdated contact information
  • Ensure all active workers have current details
