Common Edits
Updating Status
Change equipment status as conditions change:
| From | To | When |
|---|---|---|
| Operational | Under Maintenance | Scheduled for repair |
| Under Maintenance | Operational | Repair completed |
| Operational | Retired | Equipment no longer in use |
| Under Maintenance | Retired | Equipment cannot be repaired |
Reassigning to Different Farm
If equipment moves between farms:
- Click on the equipment to view details
- Click Edit
- Go to the Basic tab
- Change the Assigned Farm dropdown
- Save changes
Updating ITEAF Certification
When your equipment passes a new inspection:
- Click on the equipment to view details
- Click Edit
- Go to the ITEAF tab
- Enter the new Last ITEAF Inspection Date
- The Next Inspection Date will auto-calculate to 3 years later
- Update the Inspection Result to “Pass”
- Enter the new Certificate Number
- Save changes
Deleting Equipment
You can delete equipment that is no longer needed, with one important restriction.
Equipment used in activities cannot be deleted. If equipment has been assigned to any activity (past or present), the delete option will not be available. This ensures your activity records remain complete.
When You Can Delete
The Delete option is available only when the equipment:
- Has never been assigned to any activity
- Is not currently in use
How to Delete
Navigate to Equipment
Go to Equipment in the left sidebar menu.
Find the Equipment
Locate the equipment you want to delete.
Open Equipment Details
Click on the equipment to open the detail view.
Delete the Equipment
Look for the delete option in the equipment detail page. Confirm your action in the dialog that appears. The equipment will be permanently removed.
When You Cannot Delete
If the equipment has been used in activities, the Delete option will be disabled or not shown.
What to do instead:
- Change status — Set status to “Retired” to indicate it’s no longer used
- Update notes — Add a note explaining why it’s no longer active
- Keep for records — The equipment remains for historical activity records
Why this restriction exists: Activities reference specific equipment. If equipment could be deleted, your activity records would have missing information. Keeping the equipment preserves your complete operational history.
Troubleshooting
”Equipment Type” Field Locked When Editing
The Equipment Type field cannot be changed after initial creation. If you selected the wrong type, you must delete the equipment and create a new one with the correct type.
Model Not Found in List
If your specific model isn’t listed:
- Check alternate model designations or variants
- If truly not available, use the closest available model as a template
- Update the Model field manually in the Basic tab
- For rare equipment, use the “Custom Equipment” option
ITEAF Status Shows “Sin registrar” (Not Registered)
This appears when ITEAF-required equipment doesn’t have inspection details. To resolve:
- Go to the ITEAF tab while editing
- Enter the Last ITEAF Inspection Date
- Next inspection date will auto-calculate to 3 years later
- Enter the Inspection Result and Certificate Number
- Save Changes
Cannot Edit Equipment Name
The Equipment Name field should be editable. If locked, try:
- Refreshing the page
- Logging out and back in
- Using a different browser
- Checking user permissions
Status Filter Not Showing My Equipment
- Check the “All Status” dropdown filter
- Your equipment might be filtered by status
- Select “All Status” to see all equipment regardless of status
- Or select the specific status your equipment has
Unsure About Technical Specifications
For equipment specifications, consult:
- The equipment manufacturer documentation
- The equipment’s owner’s manual or specification sheet
- The purchase invoice or documentation
- For power: Check the engine specification plate on the equipment
Cannot Assign Equipment to Farm
If “Assigned Farm” shows “Not assigned” and won’t change:
- Ensure farms are set up in your farm profile first
- Contact your Koru.Farm administrator to verify farm configurations
- Farm assignment may be read-only for certain user roles
Date Fields Not Accepting Input
For date fields (inspection dates, maintenance dates):
- Click the calendar icon to open the date picker
- Navigate to the correct month and year
- Click the day to select
- For manual entry, use the format shown in the field
Best Practices
Keep Information Current
- Update status when equipment goes in/out of service
- Add maintenance notes when repairs happen
- Update assigned farm when equipment moves
- Keep ITEAF certifications up to date
Use Notes Effectively
The Notes field is great for:
- Serial numbers and identification
- Purchase date and warranty information
- Maintenance history highlights
- Special operating instructions
- Contact info for service providers
Don’t Delete, Retire
Rather than trying to delete old equipment:
- Change status to “Retired”
- Add a note with disposal date and reason
- This keeps records complete for reporting
Next Steps
