Required vs Optional Fields

Required Fields (marked with âś±)

These fields must be filled in:

  • Employee ID — Each worker needs a unique identifier
  • First Name — Worker’s first name
  • Last Name — Worker’s last name
  • Hire Date — When they started working

Optional Fields

These fields are helpful but not required:

  • Email — For digital communication
  • Phone — For quick contact
  • Employment Type — Categorization of employment
  • Employment Status — Defaults to Active

Even optional fields are valuable. Contact information makes it easy to reach workers when needed, especially for schedule changes or emergencies.

Employee ID Best Practices

The Employee ID should be unique and consistent. Consider these formats:

Common employment types you might use:

TypeDescription

Part TimePart-time workers with reduced hours
SeasonalTemporary workers for specific seasons
ContractIndependent contractors
FamilyFamily members helping on the farm

Employment Status

Workers can have one of two statuses:

StatusWhen to Use
ActiveWorker is currently employed and available
InactiveWorker has left, on extended leave, or unavailable

Tip: Instead of deleting workers who leave, change their status to “Inactive”. This preserves their history in activity records.
